A while ago I had the opportunity to lead a workshop at the Lutheran Educators’ Conference in Daytona Beach titled “Online Tools for More Effective School Communication.”

I really enjoyed the chance to speak to the room full of teachers and school staff, and I hope I was able to spur them on towards making better use of their websites, giving them guidance on how to do that.

The interaction in the workshop was also fantastic!

Many of the ideas shared below came from workshop participants.

Online Tools for More Effective School Communication

With any team, good communication is essential.

What happens when communication fails? The team fails. For example, check out these classic NFL football bloopers…

The impact of poor communication isn’t limited to sports. Here’s a funny commercial that highlights a communication failure in education.

Benefits of using your website to improve communication

There are many benefits to using your website to improve communication, here are 6 that stand out:

  1. Prevents miscommunication (misunderstandings)
  2. Prevents missed communications (lost papers)
  3. Save time – parents can get the info themselves.
  4. Saves money – less paper copies.
  5. Strengthen relationships. When communication is good and people are “in the loop” they feel more connected, more a part of the team.
  6. Increases retention. When people feel connected, they don’t want to leave.

12 Ways to Use Your Website to Improve Communication

  • Commonly asked questions

2) Put all forms and policies on the website.

  • Handbook
  • Dress code
  • Emergency form for athletics
  • Permission forms
  • Acceptable Use for  (photos and computers)
  • Lunch menus
  • Field trip
  • Driver form
  • Insurance forms for parents (field trips)
  • Background check form

3) Put all school-wide communications on the website.

  • Parent Teach Partner meeting forms
  • Special day announcements
  • Any paper you send home with students should also be on the website before they leave the school.

4) Email all school-wide communications to parents.

5) Have a calendar on your site and make sure it’s ALWAYS up to date.

  • Must be up to date.
  • Must include everything.
  • If its not up-to-date or doesn’t include everything, people will not trust it and won’t use it.

6) Post & email a weekly note from the principal. Perhaps a blog.

7) Online event registration

  • Sign up for extra curricular activities.
  • Parent volunteer sign-ups.
  • Allows parents to sign up anywhere.
  • Helps to organize all sign-ups in one database.
  • Prevents handwriting/reading mistakes

8) Pay for tuition, lunch online

Now let’s look at class-specific communication…

9) Maintain a class web page.

  • Update at least once a week.
  • At the very least put each week’s homework assignments and test schedule on it.  Other things can include…
  • Syllabus
  • Spelling list/memory verses/reading assignments
  • Field trip info
  • Links to outside resources
  • Photo gallery
  • FAQs
  • Kids blog
  • Podcast
  • Course Description
  • Research paper formats
  • Class policies
  • Daily schedule

  • Patrol list

10) Put all class-wide communications from each teacher online.

11) Email all docs or a link to them to parents

12) Private student pages for grades & progress reports

  • These are usually done through a special school portal rather than the website itself.

Changing the Communication Culture

If your parents and students are used to paper hand outs, paper sign-up forms, calling teachers and administrators for info, etc, they’re not going to adapt to new communication overnight…

  • It takes consistency.
  • It takes communication.
  • It takes time.
  • Creative incentives help. (Giving students points/prizes when their parents engage in communication)

Eventually it will catch on because your website will save parents time.

The two biggest reasons schools don’t do these things?

  1. Money.
  2. Time.

However… not putting all the info parents of prospective students are looking for costs you time and money.  Not putting all forms and policies on the website costs you time and money.

A better website will SAVE you MONEY and TIME.

Education is a team effort. With any team, good communication is essential.

Effective marketing reaches people where they are. And where are people today? On their mobile phones. 

Seriously: 97% of people are within 3 feet of their mobile devices 24 hours a day. We’re on the phone at work and home, when we’re commuting and socializing—we’re even on the phone in the bathroom and the bedroom. 

That might speak to a problematic addiction, but it’s the reality we live in. If you want to connect with people, it’s a good bet you can find them on their cell phones. (And you can speak to that addiction problem by modeling a more responsible way to use mobile devices.)

So what’s the best way to connect with someone on their phone? 

  • Apps? They’re a ton of work to create and face a huge barrier to entry to install.

Here are five simple ways your church can reach people where they are—on their phones—using text messaging.

  1. Welcome guests: Go digital with your first-time visitor welcome packet. Forget paper, you can use text messaging to extend a welcome and share more info. Just ask guests to text a keyword to a shortcode—such as “text GUEST to 24365,” something you can put in the bulletin and on screens. You can include a welcome video from your pastor, answer basic questions, and point to your website for more details.
  2. Follow up: Text messaging is an opt-in medium, which means people agree to receive more messages. That makes it easy to follow up. You can invite a guest back, answer questions, send encouragement, and more. Texts can also be personalized, so your follow up can be warm and inviting instead of bland and impersonal.
  3. Share the Bible: Use text messaging to share an inspiring verse of the day or week. This is a simple way for churches to make contact and stay in touch, whether it’s members, guests, or others. 
  4. Alerts: Churches can send alerts, reminders, and updates to keep their community informed. You could have a weather-related closure, emergency, or important prayer request and text messaging is more likely to reach people quickly.
  5. Text-to-give: Texting is another way to make your offering digital while still engaging people in person. Churches can use a keyword and shortcode that are easily shared from the platform or on a screen, as well as QR code in the bulletin. A reply text will include a link to your existing donation page, making it easy to donate right from their pew.

Welcome to the next installment of our web series titled,  Website Makeovers with Erica, a five-minute video in which Erica reveals how she helped one of our clients makeover their website. We hope it inspires you to make similar improvements to your website!

In Episode 2, Erica works with Teresa from Central Community United Methodist Church in Shell Knob, MO. Teresa is the church administrator who is very passionate about the ministry of the church and the work they do in the community.

Who is Central Community United Methodist Church?

Central Community United United Methodist Church in Shell Knob, MO is a small-town church with a lot going on. They have a food pantry that helps to feed those in need. They have a daycare to service families in their community. They also have a thrift store to help families in need. The church has a close family feel and they wanted a website that shows visitors that they and their families are welcome.

What were the issues that were keeping their website from achieving their goals of reaching young families?

  • The front page had too many photos and not enough information.
  • The front page needed to be more for visitors and less for the members.
  • The front page wasn’t very well organized.

In this age of technology and the internet it is unsurprising that a lot of churches are turning towards using live streaming to deliver their sermons to a wide variety of people. The benefits are numerous from reaching more people, providing loyal congregants who maybe no longer can make it to the physical building a way to worship, and giving you a way to connect to people who may be interested in helping with your church.

The issue comes in with how you can make that live stream the best it possibly can be, so here are 10 tips to get you started.

  1. Test Privately

“You’re going to have some hiccups getting started, it’s normal,” says business writer Jordan Preston from UK Writings review and UK Services Reviews. To avoid any embarrassing errors being shown to the public start by having a private stream to identify any issues.

  1. Be Authentic

Just because you’re in front of a camera doesn’t mean you need to play anything up. Give a true representation of your church and don’t try and be what you think you should.

  1. Invest in good Microphones

There is nothing worse than watching a stream with terrible audio. People are more likely to turn off from poor audio than poor video quality. Ensure microphones are placed accordingly and that the sound is clear.

  1. Utilize Chat and Online Forums

“You have the ability to speak to the masses and sometimes they want to speak back don’t forget that,” Christopher Hagan, marketing manager for Revieweal and Elite Assignment Help, reminds us. Take the time to engage with viewers, have a dedicated individual watching chat to welcome people and answer questions. This also could be used for moderating the chat, remember you are on the internet not everyone will be appropriate. Outside the live chat online forums can give you a way to learn more about your audience and perhaps find new volunteers for your church.

  1. Invest in a good Camera

Shooting from a smartphone is fine when starting out, as long as you have a tripod or some way to keep the camera steady. But given the usual size of churches you may find it easier to invest in a good camera that can record more in better quality.

  1. Shoot in HD

Speaking of recording in better quality, if you can shoot in High Dimension (HD) to give the best viewing experience. This is less important starting out but if you want people to be able to view the stream as if they are part of the live congregation then you need to make the video quality match reality.

  1. Have a good Computer

You are going to be working with sound mixers, camera footage, live stream software and the live chat. This will require a computer with a good amount of power and enough CPU to handle the stream load.

  1. Have a good Internet Service Provider (ISP)

You also want to make sure you have a good ISP to make sure that you can actually broadcast the live stream and have enough bandwidth to do so in order to give viewers the best experience. You need a fast upload speed to do this and you need it to be reliable.

  1. Bank Your Streams for Future Watching

You may have a limitation of an hour sermon but the internet doesn’t, feel free to have the recording available to watch later for those who want to and consider streaming the service multiple times in one day. This has the added benefit of allowing you to go back and review recordings to make sure they are the best quality possible.

  1. Never use Pre-recorded or Copy written material

It’s tempting but avoid using Apple Music or Spotify during your service, it will just lead to issues of copy write holders trying to shut down the stream or taking down videos you have available to watch again. Consider what music you play and if you are allowed to broadcast it without issue.

Overall there are many ways you can improve your churches livestream and these ten examples are just the tip of the iceberg. Take time to use those direct lines with viewers to get feedback and learn of ways to improve.

OCC: Tell us a little about Bethel Baptist Church

BBC: Bethel is a country church with a big heart for Jesus. There is no other church in our area quite like us! The Bethel family strives to live and to live like Jesus. Our desire is to grow in our relationship with Jesus and with the community God has called us to serve.

Increase convenience and participation.  When placed online, people can watch them anytime and anywhere.  It can be difficult for people to get to a specific physical location at a specific time for training.  By putting training videos online you have the option of doing your entire training online. Or if you choose to use videos in an in-person class or small group setting, when people miss a meeting, you could let them watch online so they don’t miss out on content or fall behind.

Training Videos for ANY Type of Organization

It may be tempting to think training videos are only a possibility for organizations like OurChurch.Com who are teaching people how to do things on a computer, but that is not the case at all.   Some other types of training videos that can be effective include.

Our focus this month is on helping organizations make better use of video to advance their mission. One underrated way to use video is for humor.

Laughter creates shared experiences and builds relationships. So, feel free to share this article with your people on your social channels or share the individual videos if you prefer.

Last year Saturday Night Live did a funny skit about Zoom Church.  (Be forewarned that unfortunately it has some language in it.)

Anyone have a similar experience with their church?

Can I get an, “Amen!?”

I give SNL credit for being dialed in to one of the current struggles churches are having during the COVID-19 pandemic.

Did you know the challenges with church online go back more than a decade?

Making fun of these challenges also goes back more than a decade.

All the way back in 2009, the folks at LifeChurch.tv posted this hilarious video depicting what online church might look like if it happened “in person.”  Check it out!

Pretty funny, huh?  And, IMO, not far from the truth.

It does make me wonder, though… If anything like these videos happened in my offline church, it would be very distracting and awfully difficult to worship, pray, or learn anything…
